Privacy contact: hansvanheghe@outlook.com

An independent non-profit organisation is being established to support the movement. It will take over as data controller once it exists. This notice will be updated before that change.

What we process, and why

  • Supporter registration: your name and email address, to record and verify your support, on the basis of your consent.
  • Optional updates: your email address, only if you tick the separate box and, for an application, confirm your address, on the basis of your consent.
  • Contributor enquiries: your name, email address, organisation or role, and message, to respond to your enquiry.
  • Member applications: your full name and email address, and your country and organisation if you give them, to handle your application.
  • Ambassador applications: your full name, email address, country, professional role or organisation, LinkedIn profile if you give it, motivation and proposed contribution, to review your application.
  • Sponsor applications: the organisation or individual name, contact person, email address, country, website if you give it, preferred category, contribution type, motivation and comments, to review the application. After acceptance, records of the agreed contribution are kept.
  • Forum expressions of interest: your full name, email address, country, professional role and organisation, expertise, preferred council, motivation, potential conflicts of interest and professional profile if you give it, for confidential review. Assessments and decisions are recorded with them.
  • Invitations: an administrator can record the name and email address of someone the movement has invited to apply. No message is sent automatically because of this record.
  • Public profiles: for approved ambassadors and sponsors who have given permission, the details listed under "Public directories" below.
  • Evidence of consent: dates and the versions of the support statement, membership conditions and this notice you agreed to. The privacy acknowledgement and optional communication consent are stored separately.
  • Review history: status changes, comments and the responsible administrator for each application, and a log of actions in the administration system.
  • Security: your IP address is held in memory to limit abuse, and in access logs of the web server.

Public directories

An application is never published automatically. A listing requires approval and a separately recorded permission, and can be removed at any time.

  • Ambassadors: photograph, name, professional title, country if chosen, short contribution description and LinkedIn link if chosen.
  • Sponsors: organisation name, logo, sponsorship category, website link if chosen and an agreed description of the contribution.
  • Forum: applicants are never published. Formally confirmed members would be shown only after approval and permission.
  • Members and supporters: names are not published. Public recognition would require separate permission.

What we do not do

  • Your email address is never published.
  • There is no public list of supporters or members.
  • Supporting the movement or applying does not subscribe you to updates.
  • We do not sell your data or use it for profiling.
  • We do not put your motivation or conflict-of-interest text in email: reviewers receive only a link to the administration system.

Who can see applications

Only authorised administrators, each with a personal account and a role that limits what they can see. Forum records are open only to the owner role and the Forum reviewers.

How long we keep it

  • Confirmed support: until you withdraw it.
  • Registrations never confirmed: deleted after 30 days.
  • After withdrawing support: your name is erased at once, and your email address is deleted within 30 days. Any other role you hold is not affected.
  • Contributor enquiries: for as long as needed to handle them, and deleted on request.
  • Withdrawn applications: deleted within 30 days.
  • Applications whose email address was never confirmed: deleted after 30 days.
  • Declined applications: no fixed period. They stay until an administrator deletes them, and you can ask for this at any time.
  • Submitted, invited and approved records, profiles and contribution records: for as long as the application or role continues, and deleted on request where no other obligation applies.
  • Images for public directories: deleted together with the record they belong to.
  • Backups: daily copies of the database are kept for 14 days.

Your rights

You can withdraw your support and unsubscribe with the link in your confirmation email. The link in an application’s receipt lets you confirm your email address, unsubscribe from updates or withdraw the application. You can also ask for access, correction or deletion through the privacy contact above, and lodge a complaint with your data protection authority. In Belgium, that is the Gegevensbeschermingsautoriteit / Autorité de protection des données.

Who receives your data

Data is stored on a server operated for the movement. It is shared only with the email service that delivers our messages, and with authorised administrators. Directory details are public only as described above.
